Borrowing Regulations

The Library is open to students and staff of the University. Users may borrow library materials up to a maximum quota and for the loan period according to the category they belong to as stated in the Library Regulations.

Book Return and 24-Hour Book Drop

Books borrowed from the Book Collection must be returned to the Library on or before the due date to the Circulation Counter. Late return of a book is an inconvenience to other users and is subject to a fine as specified in the Library Regulations.

Users may return books borrowed from the Circulation Counter through the 24-hour Book Drop which is located at the Library side entrance, on the Podium walkway towards the Hung Hom MTR Station. An express book drop is also available at the Circulation Counter on the P/F.

Library Notice

All library notices, such as date due reminders, overdues, fines, recalls, and reservation pick-up notices, are emailed to users, i.e. PolyU Connect for students, Outlook for staff, Live@Edu for CPCE students and Outlook for CPCE staff or user's own email account for those non-PolyU account holders.

Renewal

Books loaned from the Book Collection can be renewed twice, provided that there is no request for the same item. Overdue books may also be renewed and fines still need to be paid when books are returned. Online renewal is available at "myRecord" on Library homepage. For undergraduate, graduates, special borrowers and general grade staff, books can be renewed within 1 week of the due date. For postgraduates, academic and administrative equivalent staff members, books can be renewed within 28 days of the due date.

Recall

All loans may be recalled after the item has been on loan for 4 weeks. Recall notices with revised due date will be emailed to users. Recalled books must then be returned on or before the new due date. Late return will be treated as an overdue and is liable to a fine.

Request for Searching Items Not on Shelves

If an "available" Circulation, Serials or Reserve item is not found on shelves, user can report the case to the Circulation Counter.  Our staff will try to locate the item.  User will be informed of the result by phone or email.

Request Service for Remote Store Materials

The Request Service effective from 1 March 2012 allows eligible users to request the Library's low-usage books and journal articles from the Library Remote Store. It is the Library’s target to deliver the items to the requestors within two working days.

Eligibility

All users are eligible for this service, except reader ticket holders who are not granted borrowing rights.

Requesting and Borrowing Books
  • All borrowing privileges regarding loan quotas, loan period, pick-up period, recalls and renewals are the same as those for books in Book Collection.  For details, please refer to Loan Privileges for Library Users.
  • Requestors will be notified to pick up the requested book via email within a certain period of time as indicated in the Book Reservation Pick-up Notice. 
  • Users should pick up the items at the Library Circulation Counter.
  • Users can return the books to the Library Circulation Counter or via the 24-hour Book Drop.
Requesting Journal Articles
  • Users can fill in an online form to request for particular journal articles from the Remote Store.
  • A PDF file of the article will be emailed to the requestor’s official PolyU email account (or registered email accounts for graduate card holders or JULAC card holders).
  • In the case where the requested journal articles are available in e-journal version, the users will be provided the relevant hyperlink for accessing the articles.
Requesting Printed Serials
  • For those requesting entire printed bound journals or serials from the Remote Store, they will be notified to pick up the items via email within a certain period of time as indicated in the Notice. 
  • Users should pick up the requested items at the Library Circulation Counter as soon as possible after receiving the pick-up notice.
  • Loan period of printed serials/journals:
    • Academic staff and postgraduate students – 2 days
    • Other users – for in-house use only; item return on the same day
  • Users are required to return the items by hand to the Library Circulation Counter.

In Library Classic Catalogue

  • Once you find the desired item, click on the "Request" button on the top of the screen.
  • Log in to your library account. Key in your Library barcode and PIN. Then click "Submit".
  • Select the desired copy, then click the "Request Selected Item" button.
  • Requestors will be notified by email when the requested item is ready for pick-up. Please check your email account regularly.

In OneSearch Platform

  • Once you find the desired item, click Login on the top right hand corner of the screen.
  • Log in to your library account. Key in your Library barcode and PIN. Then click "Submit".
  • Click on “Request” in the book record and select the desired copy.
  • Requestors will be notified by email when the requested item is ready for pick-up. Please check your email account regularly.
Journal Articles

In Library Classic Catalogue

  • Once you find the desired item, click on “Fill form to request” appeared in the Status field of the record.  .
  • Fill in the form with necessary information and submit.
  • Requestors will be notified by email when the requested item is ready for pick-up. Please check your email account regularly.
  • In case you wish to request the entire printed bound journal, please indicate so in the Remarks field.

In OneSearch Platform

  • Once you find the desired item, click on Details tag and click “Fill form to request” appeared on right side of the window.
  • Fill in the form with necessary information and submit.
  • Requestors will be notified by email when the requested item is ready for pick-up. Please check your email account regularly.
  • In case you wish to request the entire printed bound journal, please indicate so in the Remarks field.

Book Delivery Service

This service allows eligible users to request NEW PolyU Library books for delivery to their department mail stop on the PolyU campus during regular office hours.

  • Eligibility:

    PolyU FULL-TIME academic and administrative staff of equivalent status as designated by the PolyU Human Resources Office.
     

  • Rules:
    1. You may request books from the Circulation stacks with the following locations:

      • Book Collection
      • Book Collection large Book

      AND with the item status “Available”.

      Please be reminded that requesting large numbers of books may take more time in processing and delivery.

    2. All other borrowing privileges like loan quotas, loan periods, recalls, renewals, fines, loss etc. remain the same as existing:  /services/borrowing/loan-privileges#aca

    3. You may return the book via the Library’s Circulation Counter, the 24-hour Book Drop or campus mail (packaged in an envelope).

    4. We CANNOT deliver Reference, Special Collections, Reserve books and other non-circulating books (damaged, on order, withdrawn, billed, in-process, in repair, missing, on display, etc), Audio-Visual materials, journals, interlibrary loans and HKALL loans.

    5. If the book is checked out, please put a request on the item (or HKALL item if any) with your own Library account and PIN. Please note that when you receive a “Book Reservation Pick-up Notice – Library”, you will need to come to the Library to pick it up.
       

  • Procedures:
    1. Set up Preferred Searches in the Library homepage > MyRecord.

    2. Receive the weekly email “New Library Materials and Book Delivery Service”.

    3. Input “y” in the relevant REQUEST [ ] and reply to Sender (i.e. : lbcirser@polyu.edu.hk).

    4. The turnaround time is generally 3 business days Monday to Friday.

    5. We will retrieve the book from the stacks, CHECK IT OUT to your Library account and then send it to the PolyU campus mail for delivery to your department mail stop on campus.

    6. Check your current book loan information at MyRecord.

    7. To ensure privacy, we will package all items in envelopes.

Self-checkout service in the Reserve Collection

Library users can check out reserve books (hourly and 7-day loans) themselves using the self-checkout service in the Research Collection. This service enables users to bypass the line at the Circulation Counter and check out reserve books directly with the Library system. To use this service, users simply swipe their Student/Staff/Library card, key in their Library PIN, place books on the workstation, and to finish, collect a printed loan receipt showing the due date and time. Books in the Reserve Collection borrowed via this service must be returned to the Circulation Counter on or before the due date and time.
