Reservation Policy and Software List

 

REC Research Carrels – Reservation & Use Guidelines Floor Plan

A total of 85 newly renovated, self check-in research carrels are available in the Research Enhancement Centre (3/F, Library) for eligible Library users for private individual study.  Two of the carrels are particularly designed for the students with special needs. Eligible users can reserve the carrels online one day in advance and check in the carrels by swiping their smart cards on the door of the reserved carrels.  Below are the guidelines on the use and reservation of the research carrels.

Eligible Users  

  1. PolyU Academic, Research, and Equivalent Status Administrative Staff (Full-time or Part-time)
  2. Postgraduate Students (PolyU / PolyU-SPEED awards only)
  3. Visiting Scholars & Fellows, Visiting Staff and Visitors with valid PolyU smart card.
  4. Students with Special Needs registered with Student Affairs Office (Both UG & PG, PolyU / PolyU-SPEED awards only)
  5.  
  6. Remarks: Postgraduate students from CYBERU or SPEED studying in programmes not leading to PolyU awards and do not possess PolyU ID cards in smart card format can only use Research Carrels on 4/F and 5/F. Those carrels can be borrowed at the Circulation Counter on P/F in person on first-come-first-served basis.

Reservation Policy  

Each eligible user can reserve a room one day in advance via PolyU iBooking, starting from 8:30am on the day before. Only one session can be reserved on any one day.

Cancellation of reservations should be made via the system before your reserved session begins so that the carrels can be released to other users in need.

Loan Quota  

Eligible users are allowed to reserve a research carrel in advance for only one session within a single day. They can also book and use the research carrel for the current session even if they have reserved a carrel for a later session.

To continue to use the carrels after the current session, users can reserve the current carrel or another carrel, if available, within 20 minutes before their current session expires. After the reservation for the same carrel for the next session is accepted, users can continue to use the carrel in the next session without having to check out and check in again.

Check-in & Check-out  

Users are required to swipe their PolyU smart cards at the check-in readers of the carrel within 20 minutes after the reserved session begins.

If users do not check in within the first 20 minutes, their reserved sessions will be cancelled and released for booking by other users.

Users are encouraged to check out their carrels at designated check-out readers at the open area of REC.  Once checked out, the carrel will be released for booking by other users.

Rules of Using Research Carrels  

  • The research carrels are expected to be used by the users who have registered for the loan. The loans of the carrels are not transferable.
  • The research carrel is for private individual study only, and users should not share the room with another person.
  • No food and drinks are allowed in the research carrels.
  • No furniture or equipment should be removed from or brought into a research carrel.
  • Users should not bring in uncharged library materials and use other electrical appliances (except notebook computers) into the research carrels.
  • Users must clear their personal belongings and leave the carrels clean and tidy at the end of the loan period. No drying up of wet clothes or swimming suits inside the carrel is allowed.
  • After the reserved session is over, any unattended belongings will be removed so that the room can be ready for other users. The Library will not be responsible for any loss or damage.
  • Users should also observe other Library Regulations. Any violations may result in termination of carrel privileges.
  • The Library cannot guarantee the security of your personal belongings, and will not be responsible for items lost or stolen from the research carrel.
  • The Library reserves the right to allocate any available carrel to a user, or remove carrels from service as needed (for maintenance purposes, projects, etc.)

 

REC & MS Computers – Reservation & Use Guidelines Floor Plan

74 computers in Library Research Enhancement Centre and Media Services (3/F) are available for advance booking in the iBooking System. Below are the guidelines in the use and reservation of these computers

Type of Computers  

  • 68 Multi-purpose PCs - Installed with various software applications, these PCs can be used for web navigation and document editing.  Two of them are also installed with Adobe CS5 applications and color scanners.  For detailed software installed in these PCs, please refer to the Public PCs - List of Software.
  • 6 Databases Workstations – For searching dedicated databases, these workstations are installed with MS Office and browsers only. For list of databases available in these PCs, please refer to the REC PC Workstations - List of Software & Research Databases.

Eligible Users  

  1. All PolyU staff and students with valid PolyU ID cards
  2. All authorized Library users with valid Library cards and borrowing rights

Reservation Policy  

Each eligible user can reserve one type of PC one day in advance, starting from 8:30am on the day before.  Users can only keep one booking of each PC type in hand within one single day.

Check-in & Check-out  

Users are required to log in to their reserved PC with their Library Number and PIN within 20 minutes after the reserved session starts.

If users do not check in within the first 20 minutes, their reserved sessions will be cancelled and the PC will be released for booking by other users.

Users are required to log out the PCs to end the session before they leave.  Reminders will be popped up on the PC screen at the last 10, 5, 2 minutes before the current session expires to alert users to save their files.  The current user will be automatically logged out and the PC will return to the login page for the next session once the current session expires.

Rules of Using Computers  

  • The PCs are expected to be used by users who have placed the reservation.  All reservations are not transferable.
  • Users are expected to use the PCs during their reserved session and should not leave the PC unattended for too long.  They are advised to log out and release the PC to other users if they no longer need to work on the reserved PC. The Library reserves the right to remove any unattended belongings from their desk and release the PC to other users if it is left unattended for over 30 minutes.  The Library will not be responsible for any loss or damage of their belongings and files.
  • Users should not connect the PCs with their own equipment without the prior consent of the Library staff.
  • The PCs are provided to support learning, teaching and research only.  Users should observe the Library Regulations, in particular the followings, when using the Library.  Any violations may result in termination of their use privileges of PCs.
  • 4.16   The use of Internet resources in the Library is for the interest and information of the Library community. The Library advocates a policy on intellectual freedom and thus will not proscribe, censor, or remove information or websites because of partisan or doctrinal disapproval. However, Internet users in the Library have a responsibility to be aware of materials that may be objectionable to others when using computer facilities in public areas. Internet users should not use public library computers and printers to display or print materials that might be defined as harassing or obscene. The University Librarian or his designated representative shall have the authority to relocate or remove such users.
  • 4.17   Use of e-resources: Unfair use of copyright works or violation of license agreements may result in the termination of access to e-resources for the entire University community. Activities including, but not limited to, excessive/systematic downloading or access via robotic tools are strictly prohibited. Legal action will be taken by the copyright owner. The University has the right to hold the user liable on an indemnity basis for any claims, liabilities, costs and damages the University may suffer as a result of any infringement.
  • The Library cannot guarantee the security of your personal belongings, and will not be responsible for items lost or stolen at the PC workstations.
  • The Library reserves the right to allocate any available PC to a user, or remove PCs from service as needed (for maintenance purposes, projects, etc.)
